ZRA Tax Online Portal Guide (2026) — Login, Registration, Returns, Payments & TCC

How to use the ZRA Tax Online portal in Zambia: register, log in, fix login errors, file PAYE, VAT and income tax returns, pay online and apply for a Tax Clearance Certificate.

What Is the ZRA Tax Online Portal?

Tax Online is the Zambia Revenue Authority’s self-service system for taxpayers. It replaced most paper filing and in-person visits. Every registered taxpayer, from a sole trader with a turnover tax obligation to a mining company with dozens of tax accounts, uses the same portal to:

  • Register for a TPIN and add tax types (PAYE, VAT, turnover tax, withholding tax, income tax)
  • File monthly, quarterly and annual returns
  • Generate payment references and pay taxes
  • Apply for and download a Tax Clearance Certificate (TCC)
  • Download the TPIN certificate and other registration documents
  • View assessments, taxpayer statements and notices from ZRA
  • Update contact details, directors and business addresses

You reach the portal from the official ZRA website at zra.org.zm. Type the address yourself. Phishing pages that copy the ZRA login screen circulate on WhatsApp and Facebook, and a stolen ZRA password gives the attacker access to your whole tax profile.

Step 1: Get a TPIN (If You Do Not Have One)

You cannot use the portal without a Taxpayer Identification Number (TPIN). The TPIN is a 10-digit number and is free to obtain. Individuals register with an NRC or passport; companies register with their PACRA certificate and directors’ identification.

Step 2: Activate Your Portal Account and Log In

Having a TPIN and having a portal login are two different things. Many taxpayers were issued a TPIN at a ZRA office years ago and have never activated online access.

  1. Open Tax Online from the ZRA website and select the option to register or activate a taxpayer account
  2. Enter your TPIN and the identification details ZRA holds for you (NRC or passport number for individuals, registration details for companies)
  3. Enter the email address and mobile number you want ZRA to use
  4. Check your inbox for the verification email and follow the link to set a password
  5. Return to the login page and sign in with your TPIN and password

The dashboard shows your registered tax types, returns that are due or overdue, outstanding balances and any notices from ZRA. Read the notices first. An unanswered ZRA query is the most common reason a TCC application is refused later.

Individual vs company logins

Your personal TPIN and your company’s TPIN are separate taxpayer profiles with separate logins. A director filing for the company must log in with the company TPIN. Filing a company return under a personal login is a frequent mistake that shows up as “no returns filed” on the company’s account.

Step 3: Fix Common ZRA Portal Login Errors

Most “the ZRA portal is not working” complaints come down to one of the following.

Forgotten password

Click Forgot Password on the login page. The reset goes to the email address registered against the TPIN. If that mailbox is one you no longer control, for example a former accountant’s, you must visit a ZRA office with identification to change the registered email before a reset can be sent.

Wrong or unactivated TPIN

Confirm the number against your TPIN certificate. If the TPIN was issued at a ZRA office but you never completed email verification, the account is not active yet; complete Step 2 above. Do not keep retrying a login that fails, as repeated failures can temporarily lock the account.

Browser and session problems

The portal behaves best on an up-to-date Chrome, Firefox or Edge. If pages hang or buttons do nothing:

  • Clear cache and cookies, or open a private/incognito window and log in again
  • Disable pop-up blockers, because certificates and PDFs open in a new tab
  • Complete each return in one sitting. Sessions expire after a period of inactivity and unsaved entries are lost
  • Avoid mobile data for large uploads. A dropped connection mid-submission is the usual cause of “submission failed” errors

Upload rejected

Attachments must be in the formats the portal accepts (normally PDF or JPEG) and under the size limit. Password-protected PDFs are rejected because ZRA cannot open them. Rename files clearly, for example 2026-08-PAYE-schedule.pdf.

Portal down or slow

Traffic peaks around return deadlines and month-end. If the portal is unresponsive on a deadline day, try early morning or late evening, and keep screenshots of any error messages with timestamps. ZRA does sometimes announce scheduled maintenance on its website and social channels; check before assuming the fault is on your side.

Still locked out

Contact the ZRA call centre or visit the nearest Domestic Taxes office with your NRC or passport and TPIN. Bring the exact error message. Keep a record of every call, email and visit; it matters if a late-filing penalty is later disputed.

Step 4: File Returns on the Portal

Once logged in, returns are filed from the Returns area of the dashboard. The tax types you see depend on what your TPIN is registered for.

Deadlines are the ones most commonly applied; confirm the current dates in our Zambia compliance calendar. A nil return must still be filed for any month in which you had no activity. Missing nil returns are the single biggest reason TCC applications fail.

PAYE returns

Enter each employee’s gross pay, allowable deductions and tax computed on the 2026 bands, then submit the schedule. VAT returns

Declare total sales, output VAT, purchases and input VAT. Since Smart Invoice became mandatory, ZRA pre-fills or cross-checks your sales figures against invoices issued through the Smart Invoice system, so mismatches are flagged immediately. Income tax and turnover tax

After submitting any return, download the acknowledgement and keep it. It is your proof of filing if ZRA’s records later show a gap.

Step 5: Pay Tax Through the Portal

Filing a return does not pay the tax. After the return is accepted:

  1. Go to the Payments area and generate a payment reference (sometimes called a PRN or e-slip) for the amount due
  2. Pay using that reference through your bank (over the counter, internet banking or bank app) or through the mobile money options ZRA supports
  3. Check the portal a day or two later to confirm the payment has been allocated to the right tax type and period

Unallocated or mis-referenced payments are a recurring problem. If you paid but the portal still shows a balance, raise it with ZRA promptly with the bank proof; the penalty and interest clock does not stop while it is being traced.

Step 6: Apply for a Tax Clearance Certificate

A TCC is applied for and downloaded entirely on the portal, under Taxpayer Services → Tax Clearance Certificate. ZRA checks your returns, payments and open queries automatically, so a clean account can be approved within days while an account with one missing PAYE month will be refused.

Step 7: Keep Your Profile Up to Date

The portal is also where you maintain your registration:

  • Add a tax type when you cross a threshold (for example VAT at K800,000 turnover) or hire your first employee (PAYE)
  • Update directors, shareholders and address after PACRA changes, so ZRA and PACRA records match
  • Change the registered email and phone whenever your accountant or finance contact changes, so password resets and ZRA notices reach someone who is still with the business
  • Download your TPIN certificate from the registrations area whenever a bank or supplier asks for it

Since 16 September 2026, ZRA only issues or maintains a TCC where a PACRA-registered business holds all the tax types its activities require. A company that trades or employs staff on an income-tax-only registration will now be refused. Tips for First-Time Users

  • Save the portal address as a bookmark and never log in from a link in a message
  • Use a company email, not a personal one, for the company TPIN profile
  • Diarise every return deadline for every tax type you are registered for, including nil months
  • Download and file the acknowledgement for every return and the receipt for every payment
  • Log in at least monthly even if nothing is due, to catch ZRA notices early
  • If your affairs are complex, or you have years of missing returns, get professional help before you apply for a TCC, not after a rejection

What is the ZRA portal called and where do I find it?

ZRA's online tax system is called Tax Online (also referred to as ZRA e-Services). It is reached from the official Zambia Revenue Authority website at zra.org.zm. Always type the address yourself or use the link on the ZRA site — never log in through a link sent by email or social media.

What do I need to log in to the ZRA portal?

You need a Taxpayer Identification Number (TPIN) and the password you created when you activated your Tax Online account. If you have a TPIN but have never used the portal, you must first create an account and verify your email address.

I forgot my ZRA portal password. What do I do?

Use the 'Forgot Password' link on the login page. A reset link or code is sent to the email address registered against your TPIN. If you no longer have access to that email address, you must visit a ZRA office with your NRC or passport to have the contact details updated.

Why does the ZRA portal say my TPIN is invalid?

The three usual causes are a typing error in the 10-digit TPIN, a TPIN that was issued but never activated online, or logging into the wrong taxpayer profile (for example your personal TPIN instead of your company's). Check the TPIN on your TPIN certificate and confirm email verification was completed.

Can I use the ZRA portal on my phone?

Yes. Tax Online is a website, so it works in a mobile browser such as Chrome. For long returns with attachments a laptop is more reliable, because mobile sessions time out and large uploads fail more often on mobile data.

What can I do on the ZRA portal?
