A finance manager in Lusaka can have the accounts ready, payroll approved and cash in the bank, then still miss a tax obligation because the company registered the wrong tax type or generated a payment reference too early. ZRA Tax Online is where that control either holds or fails.
For Zambian companies, the portal manages tax registration, returns, payment registration numbers and account access. We use this guide to set out the sequence that matters in 2026, including the dates that need to sit in the finance calendar.
Start with the right ZRA Tax Online access
The Zambia Revenue Authority portal requires a Taxpayer Identification Number, or TPIN, and a password. On the ZRA Tax Online login page, companies can register, add tax types, file returns, generate PRNs and reset a password.
A PACRA-registered limited company will generally receive its TPIN and login credentials through the ZRA-PACRA interface. That integration reduces duplicate registration work, but it does not automatically place every relevant tax type on the company account.
Documents to prepare before zra registration
ZRA guidance lists the certificate of incorporation, certificate of share capital, PACRA Form 3 and a map to the physical address among the documents a company may need. Keep legible PDF copies ready, because Tax Online requires mandatory fields and PDF uploads during tax-type registration.
The physical-address map deserves more care than many teams give it. A generic location description can hold up a registration where the reviewing officer needs a usable route to the business premises.

Step-by-step: register the company tax types
- Sign in using the TPIN and credentials issued or activated for the company. Check that the legal name and contact details agree with the PACRA record, because inconsistencies create avoidable follow-up questions.
- Open tax-type registration and select the obligations that apply to the company. The common options include income tax or turnover tax, PAYE, VAT and withholding tax.
- Complete every mandatory field and upload the requested PDFs. Save copies of what the team submits, including the date and supporting documents.
- Confirm the registration outcome before the first filing date. A company cannot treat an unregistered obligation as a reason to postpone a return.
Register PAYE where the business employs staff. Do not assume that employees below the taxable threshold remove the employer’s PAYE registration and monthly return obligation. [VERIFY]
Register VAT where the company is liable or chooses voluntary registration. Once registered, the business must file VAT returns, including a nil return where no taxable activity occurred in the period.
Withholding tax applies where the company makes payments that fall within the relevant rules. How to submit returns through the zra returns portal
A return and its payment are separate actions, even when both are due on the same day. This is the mistake we see most often in portal processes: a team files the return, assumes the work is complete, then discovers that payment did not follow.
A practical filing routine
Before opening the zra tax online portal, reconcile the return to accounting records, payroll records or VAT source documents. Then have a second person check the tax period, tax type and payment amount before submission.
- Log into the Zambia Revenue Authority portal using the company TPIN and password.
- Select the relevant tax type and filing period.
- Enter the return figures from reconciled records, then review the portal summary before submitting.
- Generate a PRN for the amount due and arrange payment before the deadline.

A PRN generated in Tax Online expires after seven days if the company does not use it. Generate it only when payment approval is ready. That timing discipline prevents a finance team from returning to an expired reference on the due date.
Worked example: a monthly VAT return
Take an illustrative Lusaka wholesaler with K420,000 of monthly taxable sales and an active VAT registration. Its finance officer prepares the February return on 12 March, submits it electronically, then generates a PRN after the chief financial officer approves the payment.
The team pays by 18 March, so it meets both the filing and payment requirement. If it had filed on time but paid one day late, the late-payment charge would begin at 0.5% per day, plus interest at the Bank of Zambia rate plus 2%; a late return can also attract K300 or 0.5% of tax due, whichever is greater, for each late day. The better process is to close VAT reconciliations early enough to leave time for review and payment approval.
Worked example: a company with no VAT sales
Take an illustrative engineering company with an active VAT registration but no taxable invoices in a quiet month. The accounts team may see a zero balance and decide there is nothing to submit.
That decision creates a compliance issue because ZRA requires VAT registrants to submit nil returns. If the company files late, the minimum late-return penalty is K300 per day where that amount exceeds 0.5% of tax due, even though the tax due is nil. The team should place a recurring VAT task on its calendar and complete it even in months with no trading.
2026 tax filing deadlines for companies
The dates below apply to the 2026 charge year or current ZRA due-date guidance. They should sit alongside payroll cut-off dates, treasury approvals and board reporting, because a deadline without a payment route still exposes the company.
Income tax
A company must file its 2026 provisional income-tax return by 31 March 2026. The provisional return sets the basis for instalment planning during the charge year.
Income-tax instalments fall due on 10 April, 10 July and 10 October 2026, then 10 January 2027. Schedule cash forecasts against these four dates, because ZRA requires payment rather than a declaration alone.
The annual 2026 income-tax return and any balance of tax fall due by 21 June 2027. Late limited-company income-tax returns attract K600 for each month or part of a month, while unpaid tax attracts 5% plus interest at the Bank of Zambia discount rate plus 2%.
PAYE and Skills Development Levy
Employers submit the monthly PAYE return, Form ITF/P16, and remit PAYE by the 10th of the following month. Payroll teams should reconcile gross pay, deductions and employee records before filing because the return follows the payroll period, not the company’s annual accounting cycle.
VAT
Electronic VAT returns and payment fall due by the 18th of the following month. This includes nil returns, which is why a company needs a VAT calendar even during periods without sales.
Withholding tax and turnover tax
Submit the withholding-tax return and payment by the 14th of the following month. Turnover-tax returns and payment also fall due by the 14th, so businesses that qualify should set an earlier internal deadline, ideally several business days before the statutory date.

Controls that prevent common portal failures
Give one accountable person ownership of the zra returns portal login password, but maintain a documented access and recovery process. A password problem on the 18th does not change the VAT deadline.
Create a tax calendar with an internal review date before each statutory deadline. For example, set PAYE review for the 5th, withholding tax or turnover tax review for the 9th, VAT review for the 13th and income-tax instalment review at least five business days before the due date.
