A tax return can be ready to submit and still leave a basic question unanswered. Did every sale make it into the books? When sales, receipts and adjustments sit in different systems, gaps can surface just as the filing deadline approaches. Finance then has to reconstruct what happened while trying to close the period.
What Zimbabwean businesses need to keep
Zimbabwe’s Income Tax Act requires businesses to keep proper books and accounts that support their returns. The VAT Act also sets record-keeping duties for registered operators. ZIMRA’s guidance lists invoices, credit notes, bank statements, stock records and electronic records among the documents businesses may need to keep and make available for inspection. Worked example from a wholesale business
A wholesaler dispatches an order and issues an invoice through its sales system. The invoice fails to transfer to the accounting ledger. When the customer pays, the receipt appears on the bank statement, but finance leaves it unallocated because there is no invoice in the ledger to match it to. A draft VAT return built from that ledger can therefore miss the sale.
During reconciliation, finance traces the receipt to the sales invoice and checks the dispatch note. The team confirms the sale was missing, posts the invoice once, and matches the receipt against it. Finance checks which tax period the sale belongs to and reconciles the corrected ledger to the draft return before filing. The receipt settles the customer’s balance. It does not create another sale.
Catch gaps before the filing deadline
Compare the sales register and dispatch records with the ledger to find missing invoices. Match bank and payment-platform receipts to invoices, and investigate unmatched items before treating them as sales. Reconcile the VAT control account and supporting schedules to the draft return, checking credit notes and period cut-offs. Assign each open item to someone who can resolve it and keep evidence of the correction.
